Sample Job Description: Visitor Follow-up Director

Job Purpose

To administer and motivate the Visitor Follow-up department in a manner that will result in growth for the Church and individuals participating. Major focus will be placed on good Visitor Follow-up practices, training Follow-up teams, and obtaining Home Bible Studies. In focusing upon this, you will assist in accomplishing the main task of the Church, this being, to reach the lost souls of this generation.

Job Qualifications

1. Must be filled with the Holy Ghost.

2. Must meet the qualifications for church membership.

3. Must be loyal to the Pastor.

4. Must be willing to work in harmony with others.

5. Must carry a burden for the Visitor Follow-up Ministry.

6. Must be able to instill enthusiasm and excitement.

7. Must be able to lead and motivate people.

8. Must be a lover of the souls of men and women.

9. Must be faithful and dependable in accomplishing duties.

10. Must have a knowledge of the operation/functions of Visitor Follow-up Ministry.

Job Responsibilities

** Shall oversee and supervise all operations of the Visitor Follow-Up Ministry under the direction of the Pastor. Shall seek to implement this ministry with tact, zeal, dedication and love.

** Shall insure that the four basic steps of visitor Follow-up is fulfilled on an ongoing basis:
a. A phone call (see sample conversation)
b. A letter from the Pastor (see sample letter)
c. A visit (see sample visit outline)
d. A church bulletin each month for one year (see Public Relations Department)

** Shall work with the Hostesses to insure that all visitors fill out a Guest Card. Make sure the card is filled out completely as possible. a. If you are getting guest cards that are incomplete, work with our Usher / Hostess director to correct the situation.

** Shall insure that all Guest Cards are retyped on a Visitor Follow-up Card (see sample). This card must be filled out as completely as possible. a. This will require calling each person who brought a visitor (name should be on Guest Card) to find out the necessary information This is important! If no one brought or invited the visitor, fill the Follow-up card out as best you can.

** Shall insure that a photocopy of the Guest Card is given to the following people, if possible that same service:

a. The Church Secretary – so that a Visitors Letter can be sent the next day and to add visitor’s name to church mailing list.
b. The Home Bible Study Coordinator – to encourage a H.B.S.
c. The Phone Caller – (optional, you may do this yourself if you wish) so she may call them the next day.
d. The Pastor – to contact as he wishes.

** Shall place each Visitor Follow-up card in the Follow-up Envelope (see sample) with a Home Bible Study Tract, Church Card, a Bible Study Prospect form, and a photocopy of the map area (most of this is provided in the “Total Church Growth” binder).
a. Date to be returned is to be posted on the front.

** Note: The following two methods are optional. There are two ways to work visitor follow-up. One is to have a weekly meeting and to go out all at the same time. The other is to hand out assignments on Bible Study night and let them make their visits on their own time. Both methods have their advantages and disadvantages.

** Option one – Shall have the Visitor Follow-up team meeting at the church on Tuesday night at 7:00 p.m.
a. Meeting is to begin on time – regardless of how many are there.
b. Meeting is to begin with a short prayer meeting.
c. Give a QUICK pep talk to inspire. Five minutes maximum!
d. Make assignments.
e. All should be gone by 7:45 at the LATEST.
f. Teams should be back at the church by 9:30 (actual visit should not be past 9:00 p.m.)
g. Collect assignments and complete report for the Pastor’s weekly tag-in.

** Option two – Shall insure that all assignments are handed out on Bible Study night and returned the following Sunday. Staff are to visit on their own time / schedule. a. Call Saturday evening to remind your follow-up team to return packets on Sunday. b. It no visit has yet been made, encourage them to visit Sunday afternoon and return packet Sunday evening.

** Shall make assignments to approved staff only. The pastor will work with you to select these individuals. Care should be given to try to “match up” the visitors to the staff by age, interests, marriage status, etc. if possible.

** Shall make sure that all individuals involved in follow-up know the two main purposes of the visit: (1) to establish contact, be friendly and invite back, and (2) obtain a Home Bible Study (MAIN PURPOSE).

** Shall motivate all who participate in visitor follow-up to complete their assignment within the time given.

** Shall record who you gave the assignment to on the provided Weekly Visitor Follow-up Report Sheet (see sample).
a. Hand in a photocopy of this form to the Pastor at the regular Weekly Tag-in (regardless if all assignments have come back or not).

** Shall make sure that the visit is recorded on the back of the follow-up assignment card in full. THIS IS IMPORTANT.

** Shall maintain a record keeping system that insures that each visitor will receive four visits, three months apart, over a twelve month period of time. Visits are to be terminated once a Bible Study has begun.

** Shall insure that all New Converts receive at least two drop-in visits each month (more often if needed). Make these assignments just like you do visitor follow-up. A copy of all New Convert Altar Cards will be given to you for this purpose.

** Shall keep a good supply of all materials needed to fulfill this ministry.

** Shall provide the Pastor with a list of recommendations for replacements when any vacancies occur within you Follow-up staff.

Other Duties

** Shall work with the Pastor in selecting a department assistant to help you in all phases of your departmental duties.

** Shall endeavor to not schedule any departmental activities on Monday night. Monday will be known as “Family Night” and all church members are encouraged to stay home with their families on this night.

** Shall be an example to the church in faithfulness by attending all church services and special functions.

** Shall be an example to the church in soulwinning by being continually involved in the Home Bible Study Ministry, or some other form of outreach ministry.

** Shall be an example to the church in spiritual growth by coming at least one-half hour before each service to pray.

** Shall attend all Annual Planning Retreats and Monthly Departmental Planning Councils.

** If unable to attend because of an emergency, shall inform the Pastor in advance and endeavor to have a substitute attend in your place.

** Shall hand in an official monthly report at the Monthly Staff Council.

** Shall perform additional duties as required.

Organizational Relationships

The Visitor Follow-up Director is responsible directly to the Pastor. Each year, the Pastor and Director will review this Job Description, update and improve to make more applicable to the position. Accountability shall consist of a monthly report of all activities and upcoming events, plus a weekly follow-up status report to be given to the Pastor. The Director is responsible for all interdepartmental staff and personnel. The director shall work closely with all departments, but especially with Usher / Hostessing and Home Bible Study. Evaluation of performance of this position shall be performed by the Pastor on an annual basis. The term of this office shall be for one year.

Training and Development

** Read “Let My People Grow” by Tim Massengale (Word Aflame)

** Read How to Win Friends and Influence People” by Dale Carnegie (Bantam Books) and use this as a basis to train your Follow-up personnel.

** Read book(s) provided by the Pastor.

Job Goals For The Year Of 2002

** Begin and perfect the efficiency of the visitor follow-up system, utilizing four basic steps.

** Have all forms and materials printed or purchased.

** Develop the laminated follow-up packets.

** Assist the Pastor in selecting and training your follow-up personnel

** Begin handing in weekly status report to Pastor.

** Develop Job Descriptions for all interdepartmental positions.
